1. Introduction
Visual Profit Media (“we”, “us”, “our”) operates visualprofitmedia.com (the “Site”). We respect your privacy and aim to be clear and upfront about what information we collect and why.
2. Information we collect
We collect information in the following ways:
- Contact form: when you submit our enquiry form, we receive the name, email address, business name, package interest and message you provide.
- Bookings: if you book a free audit or call, the booking details (name, email, chosen time) are handled by Google Calendar’s booking page.
- Payments: if you pay for a package via PayPal, your payment details are collected and processed directly by PayPal — we receive confirmation of payment, your name and email, but never your full card or bank details.
- Usage data: like most websites, our hosting provider may automatically log basic technical information such as IP address, browser type, pages visited and time of visit, for security and performance purposes.
3. How we use your information
We use the information collected to:
- respond to enquiries and provide quotes;
- schedule and manage audit calls and bookings;
- process payments and deliver paid projects;
- send updates about your project (and, only with your consent, occasional news about our services);
- maintain the security and proper functioning of the Site.
We don’t sell your personal information to anyone.
4. Cookies
The Site may use a small number of cookies needed for it to function correctly (for example, remembering that you’ve closed a notice). If we add analytics tools in future, this policy will be updated to describe them and how to opt out.
5. Third-party services
We rely on the following third-party services, each with their own privacy practices:
- PayPal — payment processing. See PayPal’s own privacy policy for how they handle your payment data.
- Google Calendar — booking free audits and calls.
- Vimeo — hosting the demo video embedded on the Site.
- Our web hosting provider — stores the Site’s files and may log basic access data.
6. Data retention
We keep enquiry and project information for as long as needed to respond to you, deliver a project, and meet our legal and accounting obligations (for example, retaining invoices for tax purposes). You can ask us to delete information that’s no longer needed at any time — see section 8.
7. Security
We take reasonable steps to protect the information we hold, including using secure, reputable third parties for payments and bookings. However, no method of transmission or storage online is ever completely secure, so we can’t guarantee absolute security.
8. Your rights
If you’re in Australia, our handling of personal information is guided by the Australian Privacy Principles under the Privacy Act 1988 (Cth). You can ask us at any time to:
- tell you what personal information we hold about you;
- correct inaccurate information; or
- delete information we no longer need.
If you’re located in the European Economic Area, the UK, or California, you may have additional rights under the GDPR or CCPA, such as the right to access, correct, delete, or restrict use of your personal information, and the right to lodge a complaint with your local data protection authority. To exercise any of these rights, contact us using the details below.
9. Children’s privacy
The Site and Services are intended for business use and are not directed at children. We don’t knowingly collect personal information from anyone under 18.
10. Changes to this policy
We may update this Privacy Policy from time to time, for example as we add new tools to the Site. The “Last updated” date at the top of this page shows when it was last revised.
